SAFE TRAVEL

We ask that every passenger abide by Road Safety laws, including wearing a seatbelt throughout their journey. Failure to do so will result in the termination of your journey. We will never carry out a transfer for more passengers than the vehicle can accommodate - we have a Ford Tourneo Custom that can accommodate the driver and a maximum of 8 passengers.

WAIT TIMES

It is vital for the success of our service that collection and drop off times take place as requested. If all members of the group are not present within 10 minutes of the agreed collection time, this could lead to additional charges of £1 per minute, or the transfer taking place regardless of whether all passengers are present or not.

AMENDMENTS

As most of our trips are booked months in advance, we do appreciate a number of circumstances can change within that time frame. As a result, any amendments to dates and times can be made free of charge as many times as required, up until 14 days prior to departure - these will be accommodated wherever possible. If we are unable to fulfil the requested changes with more than 14 days notice prior to your trip taking place, a full refund of the deposit will be given.

CANCELLATIONS BY THE HIRER

As long as a minimum of 14 days notice is given via email, we will refund the full deposit. Any cancellations made within this time frame are non-refundable.

CANCELLATIONS BY THE OPERATOR

In the highly unlikely event of an emergency, riot, civil commotion or on the happening of any event over which the company had no control (including adverse weather and road conditions), the company may return all money paid and without further or other liability, cancel the contract.

PAYMENTS

A deposit must be paid in order to secure your booking. No trip is confirmed until a deposit has been received. We cannot hold dates without a deposit. The deposit is to be made via bank transfer, details of which will be provided in your travel itinerary email.

The balance of the trip must be paid at the commencement of your journey; this can either be paid in cash to the driver, via bank transfer or by card payment (incl. Apple Pay, Google Pay, etc.). If you opt to pay via bank transfer, we advise that this be paid at least 3 hours prior to collection to allow funds to show in our account.

We reserve the right to cancel your trip if payment is not made in full before commencement of any journey.

ANTI-SOCIAL BEHAVIOUR

We will not tolerate any forms of aggression, whether this be physical or verbal, towards any members of our staff. Should this occur, the trip will be terminated with immediate effect and you will be asked to leave the vehicle. The driver is responsible for the safety of the vehicle at all times, so we ask that all passengers behave appropriately so as not to distract the driver. Any passengers behaving in an aggressive, or dangerous manner may be asked to leave the vehicle. We will be under no obligation to ensure your onward journey to your destination and no refund will be given.

Whilst we like to see our clients enjoy themselves and have a good time, we ask that you do not drink to excess. In the event that you are unwell in the vehicle, there will be a valet charge of £75. We reserve the right to refuse to transport any person who the driver believes to be excessively under the influence of alcohol or drugs.

The hirer is responsible for the cost of any damage caused to the vehicle as a result of passenger’s behaviour for the duration of the hire.

Smoking is not permitted in any vehicle, this includes the use of vapes, etc.

LUGGAGE & LOST PROPERTY

Reasonable amounts of luggage will be accepted at the time of the journey. If you have unusual luggage, for example, a bike, skis, etc. please make us aware of this at the time of requesting a quote, to ensure that we can safely carry all luggage and to avoid disappointment on the day. Any large or bulky luggage, in which we have not been made aware of prior to travel, will be at the discretion of the driver.

Any belongings left on the vehicle after the journey is complete will be held for a maximum of 1 month. The vehicle is checked after every journey and so the last party will be contacted if any property is found. It is the responsibility of the clients to arrange the collection / return of the item.

CONVEYANCE OF ANIMALS

No animals (other than guide dogs and hearing dogs which we must be notified of in advance) may be carried without prior written agreement from the company. They must be in appropriate restraints or cages. Any animals in which we have not been made aware of prior to travel, will be at the discretion of the driver.

BREAKDOWNS AND DELAYS

On Time Private Hire gives its advice on journey times in good faith. However, as a result of breakdown or traffic congestion, or other events beyond the reasonable control of the company, journeys may take longer than predicted and in those circumstances the company will not be liable for any loss or inconvenience suffered by the hirer as a result.

PRIVACY POLICY / GDPR

On Time Private Hire will maintain the confidentiality of personal data collected as part of making the booking. This data will not be shared with third parties without your written consent, with the exception of Leeds City Council, should we be inspected as we are required to keep passenger manifests. We will only contact you with regards to ongoing bookings and with any upcoming offers that we may be promoting – you have the option to opt out of the latter.

COMPLAINTS

In the event of a complaint about the company’s service, the hirer should endeavour to seek a solution at the time by speaking to the driver. If this is not resolved, they should make On Time Private Hire aware of the issue within 24 hours of the journey having been completed. If they feel that this has not remedied the problem, they should submit a formal complaint in writing within 14 days of the journey having taken place. On Time Private Hire will endeavour to find a resolution to the complaint no later than 28 days on receipt of the letter.

MISCELLANOUS

It is the hirer’s responsibility to ensure that the details are correct with regards to pick up / drop off locations, timings and number of passengers.

Quotes given are valid for 7 days only. No transfer will be confirmed until a deposit has been received.

Please take your rubbish with you and do not leave any behind in the vehicle.

If the hirer is not travelling with the party, they must appoint an individual to be responsible for the passengers for the duration of travel. This must be pre-agreed.

PRIVATE HIRE

All journeys must be pre-booked through On Time Private Hire and it will only be your party in the vehicle at any time, unless agreed in advance.
